Vietransfer Service (VTS) – Terms & Conditions

Please read the following terms carefully before booking with Vietransfer Service (VTS). By making a reservation via our website, phone, email, or booking form, you acknowledge that you have read, understood, and agreed to these terms on behalf of all travelers in your party.

1. Booking & Confirmation

  • Bookings are confirmed via email or fax within 2 working days.
  • If immediate confirmation is not possible, you will be notified of the booking status.
  • A service voucher will be issued upon confirmation and full payment.

2. Cancellations & Refunds

  • VTS does not charge a cancellation fee, but any hotel or third-party cancellation fees will be passed on to the customer.
  • All cancellations must be made in writing via email or fax.
  • Standard tour cancellation policy:
    • 45+ days before arrival: No charge
    • 30-44 days: 10%
    • 15-29 days: 40%
    • 7-14 days: 60%
    • Less than 7 days: 100%

No refunds for unused services (meals, accommodation, transport, etc.).

3. Payments

  • A deposit (non-refundable, amount specified per booking) is required to confirm your reservation.
  • Final payment is due 30 days prior to departure.
  • Payment methods: cash, credit card (3% fee may apply), bank transfer, Western Union.
  • All bank charges are to be paid by the sender.

4. Prices & Inclusions

  • Prices are quoted in USD per person, unless stated otherwise.
  • Rates are net, non-commissionable, and valid until the stated expiry date.

Included:

  • Ground transport in air-conditioned vehicle
  • Domestic flights/train tickets (if specified)
  • Accommodation (twin share + daily breakfast)
  • Meals and entrance fees as per itinerary
  • Bottled water during adventure activities

Not included:

  • International flights
  • Visa fees
  • Tips, personal expenses
  • Meals/beverages not specified
  • Optional tours and early/late hotel check-in

5. Travel Insurance & Liability

  • Travel insurance is highly recommended, covering trip cancellation, health, and emergency evacuation.
  • VTS is not liable for any loss, injury, or delays due to weather, accidents, natural disasters, political unrest, or other causes beyond our control.
  • VTS will make every effort to provide alternative services of similar value if changes are needed due to schedule disruptions.

6. Group & Child Policy

  • For every 15 full-paying guests, the 16th guest is free.
  • Children under 2 years: Free of charge
  • Ages 2-5: 50% of adult fare
  • Ages 5-9: 75% of adult fare

7. Complaints & Customer Support

VTS acts as an intermediary between clients and service providers (e.g., hotels, transport, airlines). We will assist in resolving complaints but cannot be held liable for the actions of third parties.

8. Site Usage & Updates

By using our website or booking services, you accept these Terms & Conditions. VTS reserves the right to update or amend terms at any time. Continued use of our services confirms your acceptance of these updates.
